RECORD OF MEETING OF SALHOUSE VILLAGE
PARISH PLAN STEERING GROUP
held at Jubilee Hall on Tuesday 18th
July, 2006 at 7.30pm.

APPROVAL OF MINUTES:
There were no comments or changes to the
minutes of the previous meeting. RC proposed their approval, MJ seconded.

ACTIONS ARISING:
Awareness Day:
PG expressed her delight at the success of the Awareness Day, thanked the SG
members for their hard work and stated that all the feedback from villagers has
been very positive. She has thanked WI members personally for their contribution
to the success of the event. Reports have been emailed to SG members with a
synopsis of the comments and suggestions received and a report on the Post Code
areas of the village, which were represented on the day, will follow.

Working Group Presentations:
As all efforts since the last meeting have been concentrated on the Awareness
Day there were no WG presentations.
Working Group Process
PG informed members that the WGs
will, between now and end of November, work towards producing their report and
more co-opted members should be recruited to enable the information gathering
process to expand further into the community. Co-opted members will not be
required to attend all WG meetings.
It will now also be
necessary to keep a formal record of WG meetings; record to be e-mailed to Chair
and Sec after each meeting (or hard copy, as applicable). Financial provision
will be available to meet the cost of open meetings if WG chairs feel they are
necessary.
Open Meeting
It was noted that many villagers had
asked for an annual open day and it was suggested that we have a mini open day,
possibly at the end of February, when villagers could have a last chance to give
their opinions. It might be an opportunity to give a summary of anything which
has already been achieved, the issues which have already been raised and the
issues likely to be listed in the action plan. It was proposed that the draw for
the Questionnaire prize should take place on this day.
MP said that notification of this could go into the November Saga and the event
will be discussed in more detail at future
meetings.
INFORMATION TECHNOLOGY
MP stressed the need to start on the
questionnaire as soon as possible. PG said that initially two people would use
the software.

VILLAGE QUESTIONNAIRE
WG chairs were asked to provide 6-8
headings (and issues arising from these) from subjects raised at the Awareness
Day. It was suggested that an insert or separate section should be incorporated
into the main questionnaire to gather the views of young villagers. It was felt
that this would be the most efficient and cost effective method as no provision
has been made in the budget for a separate youth questionnaire. Members were
asked to consider this before the next meeting. MP confirmed that there will be
one questionnaire per household which will require information about the number
of residents per household and their age groups.

It is hoped to provide at least three
prizes and one prize is already on offer of a day out on a Broads’ cruiser. PG
hopes to persuade one or two local businesses to provide a prize.

DATES OF PROLONGED ABSENCE
PG reminded the SG that there is a
danger that, with summer holidays looming, the PP process could lose momentum
and that it is vital to maintain the excellent team spirit and to offer mutual
support in the WGs. With good communication, and with everyone taking on their
fair share of work, while covering for absences, the timetable could be met
while everyone still enjoyed the summer.

WAYS OF KEEPING VILLAGE INFORMED
Copies of record of last meeting are
displayed in Jubilee Hall, The Bell and on the village website. PG reports
progress at Parish Council meetings and will investigate publicity in the press.
A request was made for more photographs of the Awareness Day to be put on the
website.

COMMUNICATIONS BETWEEN SG, WGS AND CO-OPTED
MEMBERS.

MP and JB and major issues re co-opted members to JB. Financial matters should

YOUNG ADULTS FORUM:
John Regan is to be contacted to
arrange a date for the Young Adults Forum. WG members were asked to send ideas
for discussion topics to AP. It was suggested that a relevant question would be
‘would they like to work or live in Salhouse’.

WALKABOUT.
PG stated that this would be an
opportunity for WG members to look at aspects of/and features/buildings in
Salhouse which could be considered noteworthy of protection and also to consider
the history of the village. It must include Station Road area. A co-opted member
from each group can be invited. RC suggested the walk should include Salhouse
Hall. It was agreed that at least 2 walks should be done, in Aug and Sept. It
was also suggested that a winter walk should also be made as different issues
might arise. The first walk is proposed for Monday
7th August at 6.30pm, date to be
confirmed.
FINANCE.
AM informed the members that £539.31 has been spent so far. Stationery and
photography budgets are ½ and 1/3 spent respectively. Publicity and prizes were
not within budget but this is not foreseen to be a problem. He raised the
question of what happens to the interest being earned on the Parish Plan funds.
Note was made to ask the Parish Clerk. AM requires hours worked from 9th
June for all members.

ANY OTHER BUSINESS.
PG stated that the Local Development Framework is now in the planning
consultation process and that the Parish Council Chairman has asked for a joint
meeting of members of the Parish Council and of the
Parish Plan SG to
discuss and fill in the Core Strategy
questionnaire. The first meeting will take
place on Tuesday 25th July. PG, MP, JR and MJ to attend.
