RECORD OF MEETING OF SALHOUSE VILLAGE PARISH PLAN STEERING GROUP Record of Meeting of Salhouse Village Parish Plan Steering Group held at Jubilee Hall on Tuesday 19th December, 2006. The meeting commenced at 7.40pm. Present: Pat Gallanders (PG) Chairwoman, Malcolm Prestwood (MP) Vice Chair, Julie Bendy (JB) Secretary, Gerry Crombie (GC), Michael Jordan (MJ) Displays, Colin McCormick (CMcC), Ann Prestwood (AP), Robert Cooper (RC), Jenny Rose (JR) Kerry Robbins (KR), Tim Nelson (TR),. Apologies for Absence: Andrew Musgrave (AM) Treasurer APPROVAL OF MINUTES: ACTIONS ARISING: Working Group Interim Reports: VILLAGE QUESTIONNAIRE Returns. To date 331 questionnaires have been returned (52.2% of the total distributed). This was a really encouraging response and actually exceeded the SGs initial expectations. Publicity will continue to, hopefully, encourage villagers who have not met the 18 Dec deadline to return the Questionnaire. There has been a good 45 50% response from almost every post code area of the village which was even more important. The quality of response of each Questionnaire will now become an important factor in the analysis. Data Inputting. It is estimated that it will take approximately 6 weeks to complete the data inputting, commencing in mid-January. Up to 5 data inputting teams, consisting of 2 members each, may be required. Currently, 4 members of the SG (PG, JB, MP and AP) and 2 independent volunteers (Mr and Mrs D Willcock) have been identified. (3 teams). SG members who are touch typists will also be needed to input all the Comments/Suggestions elements of the Questionnaires. Training on the Compass software can be provided by MP for the basic Questionnaire inputting. There is also a need for independent auditing of the data inputting process to ensure consistency. KR, GC and CMcC all offered their services as either data inputters/touch typists. MJ and JR might also be able to assist. Depending on the final total, the team make up, training and means of accomplishing an independent audit will be determined at the next mtg. Action: · Notify the number of teams, for inputting either data or text, together with training programme at next meeting .PG, MPPublicity. The banner will be left out to encourage more returns and the website and notice boards will be used to notify villagers of the extended deadline. Salhouse School has also distributed flyers attached to their Christmas newsletter. The Playgroup offered to use their Christmas Party to distribute flyers.FINANCE REPORT .AM has confirmed that £1745.00 has been spent so far and that this is in line with the Parish Plan budget. It is hoped to be able to produce a slimline version of the final report for every household as well as the appropriate number of full copies which are required. Members were reminded to return itemised hours to AM as soon as possible. Action: ANY OTHER BUSINESS. DATE OF NEXT MEETING. The meeting ended at 20.50 pm. |
