RECORD OF MEETING OF SALHOUSE VILLAGE PARISH PLAN STEERING GROUP

Record of Meeting of Salhouse Village Parish Plan Steering Group
held at Jubilee Hall on Thursday 29th June, 2006. The meeting commenced at 7.30pm.

APPROVAL OF MINUTES:
No comments or changes were suggested to the minutes of the previous meeting. RC proposed their approval, MJ seconded. Minutes approved.

ACTIONS ARISING:

Photographic material action for Awareness Day
:
There is an ongoing action to expand the slide shows. There will be 2/3 shows, MJ’s show from the perspective of a visitor who arrives in Salhouse by train (captions needed) and the other(s) produced by MP with more controversial topics to get people talking. A meeting will be arranged with MP on Thursday. Arrangements are in place to print required photos. PG will have a board showing photos of Salhouse gardens and captions relating to village in bloom.

  • Working Group Presentations:

    Lifelong Learning and Education
    : GC has visited the Playgroup and obtained their returned questionnaire and a photograph for display. He has taken 40 photographs from the top of the Church tower including a panorama of Salhouse. This is available on disc. The publication of adult education brochures has been delayed until late July but application forms for brochures will be available on the day. The School Art Competition prizes were presented by GC on 23rd June at Salhouse School.

    Next week GC will obtain adult education display boards from North Walsham.

  • Recreation and Leisure: A meeting was held with co-opted members and they will gather information between now and the end of August. A further meeting was held with WG members to discuss information gathering, the Awareness Day and captions for display boards. The School Art Competition was judged and it was decided to award an extra prize for a highly commended category. Two fundraising projects in the village were identified and they have been sent questionnaires. Mini questionnaires have been sent to recreation groups and they have been asked if they would like to put up a flyer in Jubilee Hall on Awareness Day. JB and JR attended the School Fete and handed out approx 75 flyers. JB catalogued all the children’s ideals from the Art Competition.

    Planning and Conservation: A meeting was held with PG, MP and JB to discuss captions and photos for the Awareness Day. No further meetings have taken place but it is hoped to arrange one next week. KR requested more photos which PG and MJ will provide. PG said that there is an information/notice board behind the recycling bins at the playing field car park. This would be a useful site for village information if another site could be found for recycling. PG stressed that a Planning meeting is needed ASAP after Awareness Day.

    Transport and Infrastructure: No further meetings have been held due to absence but everything is in place for the Awareness day and CMcC has provided (for display) an aerial photograph of the western end of the village.

    Community Services: There is no update for this group due to absence but work has been ongoing on the WG structure and captions for the Awareness Day. PG has collected flyers from BDC and has a DVD of the Air Ambulance. A reply has been received from PC Taylor regarding police response times but an answer is awaited from First Responders.

    Business, Agriculture and Tourism: AM has received a completed questionnaire from the village shop and has had a meeting with John Fielder who handed over information regarding a previous village questionnaire (only 18 replies received). He has also written to Mr A Cator to request a meeting. AM has 28 photos for the Awareness Day including existing and old businesses. PG suggested also contacting businesses run from home but AM felt that he might not get a good response from this approach. PG asked AM to consider this approach in the longer term.

    Village Awareness Day

        PG intends to display old maps of Salhouse on the Jubilee Hall baffle boards.
        Headline captions are in hand.
        Display boards available will be 16 (2x2), 8 (3x2) and 6 (6x3). The latter can be propped against a wall as they lack stability. PG will
        collect these on Saturday, Monday and Wednesday respectively. By Thursday evening all boards will be in Jubilee Hall and will be
        available for WGs to prepare on Thursday/Friday evenings.

    Availability on day.

  • PG, JB, MP, MJ, KR, AP, RC - all day.
  • GC available from 2pm, Joy Crombie also available to help
  • AM available until 1pm.
  • JR available from 1pm.
  • Richard Squires (BDC) will attend am.
  • David Teager (District Councillor) will be present all day.
  • Name badges have been obtained and will be handed out on the day.
    Stationery costs are within budget.
    Refreshments. WI will provide refreshments of free drinks and biscuits. Cakes will be provided by members.
    Sandwiches will be provided for the SG members.
    PG asked for plastic tables/chairs to put outside the hall for refreshments. AM, JR and PG may be able to provide some. Other SG members were asked to provide if possible
    Publicity. A banner has been obtained (lettering can be changed for future use) and 2 notice boards have been ordered for the entrances to the village. Sites to be used for the banner: Station Road - The Bell and Jubilee Hall. Sites for the boards – Norwich Road, Honeycomb Road and Bell lane. Flyers will be placed on village notice boards, Broad car park, The Bell, Salhouse Garden Centre, Post Office and plant barrows around village. A notice will be posted on website. Two sets of flyers will be used. One set will be handed to visitors as they arrive at the Awareness Day (this will also act as a ‘head count’). The other set will be used for publicity. RC suggested advertising at the Jumble Sale in Jubilee Hall on Saturday.

              Sec’s note:  A board was placed on railings outside Jubilee Hall.

    Maps provided by Richard Squires are not as large as we had anticipated but these will be mounted for display. PG will contact him to ask if he can provide a map showing the development boundary around the village. The largest map will be displayed on a table in the middle of the room.

    Questions for Awareness Day to include:-

  • How did you hear about the Awareness Day?
  • What is your post code?
  • Why are you here?
  • An explanation of ‘Parish Plans’ will be displayed on a board in the hallway and ‘way in’ signs with arrows have been made to channel people in the right direction around the hall. There will also be a sponsorship list and explanation of WG remits. The ‘wish list’ will be displayed and a suggestion box placed near the exit.

    Preparation. Jubilee Hall will be available from 7.30 pm on Friday evening for preparations.

    On morning of Awareness Day PG and RC will arrive early (8am) to ensure that everything is in place by 9.30am.

    RC asked if public liability insurance cover was in place for the Awareness Day. JB will check with Ann Shorten and PG will contact the Parish Clerk.

    JR has been delivering flyers to nearby houses. MJ will deliver to Station Road properties, RC, KR and AM will also deliver to their areas.
    PG will contact Radio Norfolk to try to arrange publicity and collect leaflets from BDC and Tourist Information Office.

    A photographic record of Awareness Day is needed. MJ, GC and PG will record the event.

             Sec’s note: Ann Shorten has confirmed that Jubilee Hall is covered by insurance.

  • YOUTH FORUM:

    John Regan is organising this event which will probably be called a Young Adults Forum. This age group could provide interesting information on such topics as housing needs. MJ suggested a Saga article about this group.

    Parish Plan finances are within budget.

    Action:

  • Keep a record of all time spent on SG and WG meetings and also formal meetings with WG contacts and submit to AM by 15th July All

    Photographs are still needed of a tourist bus in village and of low flying aircraft.

    PG announced that, at the last Parish Council meeting, Chairman Peter Jefford expressed thanks for all the hard work done by the Steering Group Committee towards the Parish Plan.

    PG would like a short report from SG members within a week of the Awareness Day stating how they viewed the success of the event and including such information as attendance, age groups represented and what issues were raised.
